By booking tours or travel services with Hotel Ajanta Voyages, you agree to the following terms and conditions. Please read carefully before confirming your booking.

1. Booking Confirmation
   • All bookings are subject to availability and written confirmation from Hotel Ajanta Voyages
   • A booking is confirmed only upon receipt of the required advance payment and signed booking form
   • We reserve the right to decline bookings without providing reasons

2. Payment Terms

Advance Payment:

• 25-50% advance payment required at the time of booking (varies by tour)
• Balance payment due 15 days before tour start date
• Full payment required for bookings made within 15 days of departure

Accepted Payment Methods:

• Bank transfer (NEFT/RTGS/IMPS)
• Credit/Debit cards (processing fees may apply)
• UPI payments
• Cash (for walk-in bookings at our office)

All payments must be made in Indian Rupees (INR) unless otherwise specified.

3. Tour Inclusions & Exclusions

Typically Included:

• Accommodation as per itinerary
• Meals as specified (breakfast, lunch, dinner as mentioned)
• Transportation as per itinerary (private vehicle/coach with driver)
• Sightseeing and entrance fees as listed
• Services of English-speaking guide (where specified)
• All applicable taxes

Typically Excluded:

• International/domestic airfare (unless specified)
• Visa fees and travel insurance
• Personal expenses (laundry, phone calls, tips, beverages)
• Camera fees at monuments
• Meals not mentioned in the itinerary
• Any services not explicitly mentioned in inclusions

4. Hotel Check-In/Check-Out

• Standard check-in time: 12:00 PM (Noon)
• Standard check-out time: 12:00 PM (Noon)
• Early check-in or late check-out is subject to availabilityand may incur additional charges
• We can request early check-in/late check-out but cannot guarantee it

5. Vehicle Usage

• Vehicle cost includes pickup, drop-off, and sightseeing as per itinerary
• Extra usage(additional sightseeing, airport transfers not in itinerary) will incur extra charges
• Vehicles are provided with a driver; self-drive is not permitted
• Driver allowance, fuel, toll charges, and parking fees are included unless stated otherwise

6. Travel Documents

For Foreign Nationals:

• Valid passport with minimum 6 months validityfrom date of entry
• Valid Indian visa (tourist/e-tourist visa)
• Passport and visa copies must be submitted at booking

For Indian Nationals:

• Valid government-issued photo ID (Aadhar, passport, driving license, voter ID)

Visa Processing:

• Visa and passport processing are not includedin tour cost
• Hotel Ajanta Voyages can assist with visa guidance but is not responsible for visa approvals/rejections

7. Health & Safety

• Travelers are responsible for their own health and fitness for tour activities
• Pre-existing medical conditions must be disclosed at the time of booking
• We recommend comprehensive travel insurance covering medical emergencies, trip cancellations, and lost baggage
• COVID-19 protocols: Compliance with current Government of India health and safety guidelines is mandatory

8. Itinerary Changes

• Itineraries are indicative and subject to change due to weather, road conditions, political situations, or unforeseen circumstances
• Hotel Ajanta Voyages reserves the right to modify itineraries without prior notice if necessary for safety or operational reasons
• We will endeavor to provide equivalent alternatives in case of changes

9. Liability & Force Majeure

Hotel Ajanta Voyages acts as an agent for hotels, transport operators, and other service providers. We are not liable for:

• Delays, cancellations, or changes caused by airlines, railways, or transport providers
• Loss, theft, or damage to personal belongings
• Accidents, injuries, illness, or death during the tour
• Natural disasters, strikes, civil unrest, pandemics, or force majeure events
• Quality of services provided by third-party vendors

Travelers are advised to obtain comprehensive travel insurance.

10. Conduct & Behavior

• Travelers must respect local laws, customs, and cultural sensitivities
• Unruly, abusive, or illegal behavior may result in tour termination without refund
• Damage to hotel property or vehicles will be charged to the traveler
• Consumption of alcohol or illegal substances during travel is at the traveler’s own risk and responsibility

11. Complaints & Dispute Resolution

• Any complaints must be reported immediately to your tour manager/guide during the tour
• Written complaints must be submitted within 28 daysof tour completion via email
• Failure to report issues during the tour or submit written complaints within 28 days will affect investigation and resolution
• All disputes are subject to the exclusive jurisdiction of courts in New Delhi, India

12. Photography & Media

• Hotel Ajanta Voyages may use photographs or videos taken during tours for promotional purposes
• If you do not wish to be featured in promotional materials, please inform us in writing

13. Group Bookings & Special Requests

• Group rates available for 10+ travelers
• Special requests (dietary requirements, room preferences, accessibility needs) should be communicated at booking
• We will make reasonable efforts to accommodate requests but cannot guarantee fulfillment

14. Modification of Terms

Hotel Ajanta Voyages reserves the right to modify these terms and conditions at any time. Updated terms will be posted on our website. Continued use of our services constitutes acceptance of revised terms.

15. Governing Law

These terms and conditions are governed by the laws of India. Any disputes shall be subject to the exclusive jurisdiction of courts in New Delhi, India.
