CANCELLATION & REFUND POLICY

Hotel Ajanta Voyages – Booking Cancellation Terms

Effective Date: November 7, 2025

We understand that travel plans may change. This policy outlines our cancellation and refund procedures for tour packages and travel services booked with Hotel Ajanta Voyages.

Important Notice

All cancellation requests must be submitted in writing via email to info@hotelajantavoyages.com. Cancellations are effective from the date we receive your written request, not the date of your decision.

Standard Cancellation Policy (Individual Tours – FIT)

For regular bookings (excluding peak season and festivals):

Peak Season & Festival Period Cancellation Policy

Applicable During:

  • Winter Peak Season: December 20 – January 15
  • Major Festivals: Diwali, Dussehra, Holi, Pushkar Fair, Republic Day, Holi, etc.
  • Long weekends and public holidays

Minimum Service Charge

Regardless of the cancellation timeline above, a minimum 10% service charge applies to all confirmed bookings canceled by the client for any reason.

Mid-Tour Cancellations

If you cancel your tour after it has started or mid-trip:

  • Refunds depend on amounts we can recover from hotels, transport providers, and other vendors
  • No refunds for unused accommodations, meals, transportation, or activities
  • We are not liable for refunds on unutilized services once the tour begins

Force Majeure & Natural Calamities

In cases of unavoidable cancellations due to natural disasters, political unrest, pandemics, or other force majeure events, you have two options:

Option 1: Credit Note

  • Receive a credit note for the full advance amount paid
  • Valid for future bookings for yourself, family, friends, or relatives
  • No expiry date (subject to terms)

Option 2: Refund

  • A 10% service charge applies
  • Remaining amount (90%) will be refunded after deductions
  • Refund processing time: 5-6 weeks due to banking procedures

Flight Ticket Cancellations

  • All flight tickets booked through us are non-refundable
  • Name changes and date changes are subject to airline policies and additional charges
  • Cancellation and rescheduling fees as per airline terms will apply

Wildlife Safari & National Park Bookings

  • Wildlife game drives and national park entry permits are 100% non-refundable
  • Date change requests are treated as cancellations with no refund or credit
  • This is as per Government of India forest department regulations

Refund Process & Timeline

  • Refunds are processed to the original payment method (bank account/credit card)
  • Processing time: 5-6 weeksminimum due to banking procedures
  • Bank charges and transaction fees will be deducted from the refund amount
  • Only the person who made the original payment will receive the refund
  • Only written communicationwill be entertained for refund requests

Calculation Basis

  • Cancellation charges are calculated on the total tour cost, not on the advance amount paid
  • All charges are per person, per booking

Amendments & Modifications

Changes to confirmed bookings (dates, hotels, destinations, number of travelers) may incur charges depending on vendor policies and availability. Please contact us as early as possible for modification requests.

No Show Policy

Failure to show up for your tour without prior cancellation notice will result in:

  • 100% forfeiture of the tour cost
  • No refunds or credits

Mandatory Documentation for Bookings

All guests must provide valid photo identification at the time of booking confirmation:

  • Foreign Nationals:Copy of passport + valid Indian visa
  • NRI (Non-Resident Indians):Copy of passport
  • OCI/PIO Cardholders:Copy of passport + OCI/PIO card
  • Indian Nationals:Copy of Aadhar card, passport, driving license, or voter ID

Visa Requirement: All foreign nationals require a valid visa to travel in India. Check eligibility for e-Visa at: https://indianvisaonline.gov.in

Disputes & Jurisdiction

All disputes arising from bookings or cancellations shall be governed by the laws of India and subject to the exclusive jurisdiction of courts in New Delhi, India.
